Privacy Policy
This Privacy Policy explains how HiveLogix One (“we”, “us”, “the Service”) collects, uses, and protects information when you use our websites and business software, including optional Google / Gmail connections.
This page is provided for transparency and Google OAuth verification. It is not legal advice.
Information we collect
Depending on how you use the Service, we may process:
- Account details you provide (name, email, phone, workspace / company information)
- Business records you enter in HiveLogix One (inventory, CRM, events, orders, and similar operational data)
- Technical logs needed to operate and secure the Service
- Optional Google account identity and Gmail send credentials when you choose Connect Gmail
Google account and Gmail access
HiveLogix One lets optional users connect their Google account so the Service can send emails on their behalf (for example CRM messages, event notices, sales summaries, or test emails).
What we ask Google for
When you choose Connect Gmail, we request Google permissions limited to:
- Basic identity: OpenID, email address, and profile name/photo (so we can confirm who connected)
- Gmail send only (
https://www.googleapis.com/auth/gmail.send) — permission to send email through your Gmail account
We do not request permission to read your full mailbox, contacts list, or Drive files.
What we store
If you connect successfully, we may store:
- Your Google account email address and display name
- Encrypted OAuth access and refresh tokens needed to send mail until you disconnect
- Connection status and recent error messages related to sending
Tokens are stored encrypted on our servers. We do not sell Google tokens or Gmail content.
How we use this data
- Send emails you (or your workspace role) initiate inside HiveLogix One
- Show connection status in your account profile
- Maintain security checks (for example, the connected Gmail must match your registered ERP email)
Your choices
- Decline to connect Gmail (some features may fall back to a shared system mail relay where available)
- Disconnect Gmail at any time from Account → Profile / Email Account in HiveLogix One
- Also revoke access in your Google Account under Third-party access
After disconnect or revoke, we stop using your Gmail send access and remove or invalidate stored tokens according to our normal account processes.
How we use information generally
- Provide, maintain, and improve HiveLogix One
- Authenticate users and secure workspaces
- Send transactional messages related to your account or requested demos
- Comply with legal obligations
Data sharing
We do not sell your personal data or Google data. We share information only:
- With Google, as needed to complete OAuth and send mail you requested
- With infrastructure providers that host the Service, under confidentiality obligations
- If required by law
Data retention
We retain account and business data while your workspace remains active and as needed for legitimate business, security, and legal purposes. Gmail OAuth tokens are retained only while the connection remains active or until revoked/disconnected.
Security
We use reasonable administrative and technical safeguards, including encrypted storage of Google OAuth tokens. No method of transmission or storage is completely secure.
